Vestry On Duty Responsibility Checklist

Duration of duty

Each Vestry member is designated as Vestry-on-Duty for one month each year. During that month, your duty schedule is each Sunday from 9:30 a.m. to 12:00 p.m.

Before the service
  • Put your "Vestry On Duty" badge on; badges are located in a small box on the shelf in the Narthex coat closet.
  • Pray that your offering as Vestry on Duty may be blessed and guided by God.
  • Check with the Christian Education Director and the Rector to see if either has any needs or concerns.
  • Check with the ushers to see if they have any questions.
  • Be alert for visitors or newcomers; welcome them. If possible, get their name, ask them if they'd like information about Epiphany, ask if they'd like to sign the guest book, invite them to coffee hour after the service. If you aren't sure if someone is a visitor, ask anyway!
During the service
  • Check in with the Christian Ed Director once or twice.
  • Be sure the ushers have notified the Christian Ed Director when the homily is finished.
  • Be alert to any difficulties that may arise in church and be ready to help - someone sick, upset, or making a disturbance.
After the service
  • Again, be alert for newcomers/visitors and invite them to the coffee hour.

  • blanket & pillow

  • fire extinguishers (9)
  • alarm system & how to disarm it
  • furnace starter
  • fans in church
  • wine, bread, vestments - Sacristy
  • key rack - Church office
  • building diagram
  • paper supplies
  • plastic trash bags
  • toilet paper & paper towels
  • Christian education supplies
  • television/VCR
  • pledge cards, information about Epiphany
  • copies of sermons
Securing the building Church Front of the Church (altar)
  • Turn off the lights - switches are located in the areas to the right and left of the altar.
  • Turn off the ceiling fans - switch is located in the area to the right of the altar.
  • Do not touch the thermostats.
  • Check that the candles on the altar, at the back of the altar, and in the Advent wreath/Paschal candle have been snuffed out. The candle snuffer hangs on the wall in the area to the right of the altar.
  • Check that the 2 emergency exit doors are shut securely.
  • Pull the plugs for the creche, and window candles (during Christmas).
  • Be sure the money counters have removed the collection plates.   If both money counters aren't available, remove collection plates and verify loose plate count with the money counter. 
  • Turn off the sound system behind the pulpit.

Rear of the Church

  • Turn off the lights in the choir area - switch is located on the wall behind the last choir pew.
  • Turn off the lights in the nave - switch is located to the left of the door.
  • Do not touch the thermostats.
  • Summer months - Check that all dehumidifiers are powered on - Don't change the settings.  

Office area

  • Turn the following thermostats to 55 degrees
    • sacristy
    • Church office
    • Rector's office
    • women's room
    • men's room
  • Do not lock the doors to the above offices.

Narthex

  • Turn off the 2 electric wall heaters - located to the right and left of the front door on the lower half of the wall. The switches must be turned all the way to the left.
  • Turn the 2 thermostats to low - located by the office corridor door and by the preschool corridor door.
  • Lock the front door - people may still get out.
  • Turn off the lights.
  • Summer months - Check that all dehumidifiers are powered on - Don't change the settings.  
  • Summer months - To keep the dehumidifier system working correctly, limit opening of the outside doors (Discourage people from standing in the doorway with the door open).

Preschool corridor and rooms

  • Turn off the wall heaters in the Preschool classrooms. There are no knobs; you may need pliers.
  • Check that the emergency exit in the Preschool classroom is secured.
  • Lock the 3 preschool corridor doors.
  • Do not adjust any of the thermostats in the corridor - they are regulated by time clocks.

Chapel

  • Check that the emergency exit in the Chapel is secured.
  • Turn off the lights.
  • Leave the corridor door to the chapel unlocked.

Stevens Hall

  • Check that the emergency exit in Stevens Hall is secured.
  • Shut the closet doors.
  • Turn off the lights.

Sackett Hall

  • Turn off the lights.
  • Do not adjust the thermostats in the Hall - they are regulated by time clocks.

Kitchen

  • Be sure the coffee maker is switched off but plugged in. (It should not be unplugged.)
  • Unplug the double coffee warmer.
  • Check that the stoves and ovens are off.
  • Turn off the lights.

Rear entrance

  • Lock the rear entrance to the church.
